When a new account connects a helpdesk that already holds conversations, Aide reads how the team has been answering customers and writes the agent's style guide from it: what the business is, how replies sound and close, and how long they run. The agent is ready to review and deploy without anyone writing instructions from scratch.
How it behaves
- The agent is there from signup: every new account gets its Aide AI Agent as soon as it is created, switched off. The sidebar always offers it, and the way in reads "Deploy Aide AI Agent" until an agent is deployed.
- Learned once the history has landed: after a helpdesk's past conversations finish importing, Aide looks at up to 32 recent replies from the last 90 days, one per conversation and spread across teammates, and writes the agent's business context, style tips, and length and formatting from them.
- Needs 20 replies: an account with fewer than 20 replies from teammates (each answering a customer) gets no style guide yet, and the agent keeps its starter instructions.
- Never over your edits: the style guide is only written while the agent's instructions are still the starter ones. If someone has already changed them, Aide leaves them alone.
- Never switched on for you: writing the style guide does not deploy the agent. It stays off until someone deploys it.
- Customer details stay out: names, email addresses, phone numbers, order numbers and addresses are removed from the replies before Aide reads them, and a style guide that still names a customer, or that sets policies, limits or promises, is rejected and written again.
- The AI disclosure is always included: the standard instruction to say it is an AI when a customer asks is added to every style guide.
- No history, no guide: a mailbox connected with no past conversations (a new Gmail or forwarding address, for example) has nothing to learn from yet.
