What is a virtual assistant?

Updated July 2026

A virtual assistant is one term carrying three different meanings, and the first job of any definition is to say which one is on the table. The oldest sense is a person: a remote administrative professional who manages calendars, inboxes, and bookings for clients, usually as a contractor. The second is the consumer device sense: the voice assistant on a phone or smart speaker that sets timers and answers trivia. The third is the business software sense: an AI virtual assistant that handles customer conversations for a company, answering questions and completing service requests over chat, email, and messaging.

This page is about the third sense, because that is what virtual assistant software means when a business is evaluating it. In that sense the term overlaps heavily with chatbots, AI agents, and vertical labels like banking virtual assistant, which all describe the same underlying idea: software standing in front of a company's customer conversations. The label says nothing about capability. Some virtual assistants are scripted FAQ flows from a decade ago; others read live systems and execute real service work.

That capability line is the one worth drawing: answering versus acting. A virtual assistant that answers can summarize policy, point at help articles, and route the customer somewhere else. A system that acts reads the customer's actual record, performs the requested change inside procedures the team approved, and logs what it did. The industry increasingly reserves "AI agent" for the acting kind, but plenty of products wearing the virtual assistant label do agentic work, and plenty wearing the agent label just answer. Evaluate the verb, not the noun.

The three meanings of virtual assistant at a glance

MeaningWhat it isTypical work
Human virtual assistantA remote admin professionalCalendars, inboxes, travel, research
Consumer voice assistantA device featureTimers, weather, media, smart home
Business AI virtual assistantSoftware on the customer queueAnswering and resolving customer requests

Aide, the agentic AI platform for customer experience, sits at the acting end of the third meaning. It classifies what each customer conversation is asking for, resolves the requests the team has approved procedures for over email, chat, and SMS, and hands the rest to humans with context attached. For how the acting kind is built and bounded, see AI agents.

Frequently asked questions

Is a virtual assistant the same as an AI agent?
The terms overlap but are not synonyms. Virtual assistant is the older, broader label and covers everything from scripted FAQ bots to humans working remotely. AI agent usually implies software that takes actions in real systems, not just answers. The distinction that matters is whether the system acts, whatever it is called.
What does virtual assistant software do in customer service?
At minimum it answers common questions and routes conversations. The capable version identifies what the customer wants, pulls the answer from live account or order data, completes the request inside approved procedures, and escalates anything outside its scope to a human.
