Short answer
A product exchange is a return where the customer swaps the item they bought for a different one, usually another size, color or variant of the same product, instead of taking their money back. The store keeps the sale, and the customer ends up with the thing they meant to buy.Exchanges are the outcome most stores want and the request support handles least smoothly. A message like "the jacket from #1057 is too big, can I get a medium?" hides three separate checks. Is the order still inside the return window? Is the medium in stock right now? Does the store send the new jacket straight away, or only after the first one arrives back? The policy, the inventory and the order each hold one of those answers, and an agent has to open all three before replying.
Stores usually run one of two models. A standard exchange ships the new item once the original is received and inspected. An advance exchange ships the new item immediately and trusts the customer to send the old one back. The first protects stock and margin; the second gets the right size onto the customer faster.
| Standard exchange | Advance exchange | |
|---|---|---|
| New item ships | after the original is received | as soon as the exchange is approved |
| Who carries the risk | the customer waits longer | the store, if the original never returns |
| Best fit | low-margin or high-fraud categories | loyal customers and fast-moving sizes |
The common mistake is turning every exchange into a refund and a fresh order. It looks tidy in the books, but the money leaves the store, the customer has to shop again, and the medium they wanted may have sold out by the time they come back. An exchange should be handled as one request with one outcome.
When a shopper asks to swap a size, Aide reads the product's live stock for the variant they want, checks the original order against the store's Shopify return rules, and answers with both facts in one reply. It does not create exchanges in Shopify itself. If the store's returns portal offers exchanges, Aide sends a button that opens the portal on that order; otherwise it starts a return request for the team to approve and send the new item.
