Short answer
A warranty claim is a customer's request for a repair, replacement or refund because a product failed within the period the store or manufacturer promised it would work. Unlike a return, it is about a defect, not a change of mind, and it can arrive long after the return window has closed. For a direct-to-consumer brand, warranty claims are some of the slowest tickets in the queue. Each one needs evidence before anyone can decide: which order the product came from, when it was delivered, what exactly went wrong, and usually a photo or short description of the fault. A customer writes "my kettle stopped working" and the agent spends the first two replies collecting basics that could have been gathered in one exchange.
Three things decide how a claim resolves. Is the product still covered, counted from the delivery date in most policies? Is the damage a defect rather than wear or misuse? And what remedy does the policy offer: a repair, a replacement unit, a partial credit, or a refund? A clear written answer to each turns a judgment call into a lookup.
| Step | What support needs | Common delay |
|---|---|---|
| Identify the order | order number or account email | customer bought it as a gift |
| Confirm coverage | delivery date, warranty term | term not written down |
| Describe the fault | photo or short description | back-and-forth for details |
| Decide the remedy | the policy, sometimes a manager | waiting for approval |
The popular wrong approach is routing every warranty email straight to a senior agent with nothing gathered. The expert then does clerical work, the customer waits a day for a question they could have answered at once, and the queue for real judgment calls grows.
Aide gathers what a claim needs inside the conversation: it records the order number and the reason for contact as fields the team defines, asks only for what is still missing, and looks at photos the customer sends to describe what they show, without diagnosing the cause of a fault. It then hands the claim to the team with a summary, so the person deciding starts with the facts in place. Teammates can send a free replacement from the conversation once they approve it.
