Fulfillment hold

What is a fulfillment hold?

· Glossary

Short answer

A fulfillment hold is a pause placed on an order, or on part of one, that stops it from being picked and shipped until someone releases it. In Shopify, held orders show "On hold" and stay out of the warehouse's queue.

Holds exist because some orders should not ship yet. The address looks incomplete or the customer has asked to change it. The order was flagged as high risk and needs a look. A customer wrote in to swap a size and nobody has made the change. A pre-order item is not ready and the store wants the order shipped together. Shopify apps and third-party warehouses can place holds automatically, and staff can place them by hand.

From the customer's side, a hold is invisible until it causes a delay. Maya asks why order #1066 has not shipped after four days, and the honest answer is that it was held for an address check nobody followed up on. Holds are useful, but each one is a promise that someone will look at the order. A hold nobody owns is just a slow cancellation.

The common pattern is placing holds liberally and releasing them slowly. A better habit is giving every hold a reason, an owner and a time limit, and telling the customer when their order is waiting on them.

Common reasons for a fulfillment hold

ReasonWho usually places itWhat releases it
Address needs a fixthe store, or an address check at checkouta confirmed corrected address
Pending change requestsupport, while the edit is madethe change being applied
Fraud or risk reviewthe store or a risk appa manual review
Waiting on other itemsthe store or warehousethe last item arriving

In Aide, teammates can hold fulfillment straight from the conversation while they sort out the customer's request, and a procedure can tag the Shopify order, for example "Do not import", so the warehouse skips it. The customer's request, the hold and the follow-up all sit in one conversation record, which makes it obvious when a held order still needs an answer. For the most common reason a store holds an order, see how address changes are made before shipping.

Frequently asked questions

Usually because the store needs to confirm something first: the delivery address, a change you asked for, a payment check, or an item that has not arrived yet. Contact the store and ask what it is waiting on.

Until someone releases it. There is no automatic expiry in most setups, which is why stores should set their own time limit and follow up with the customer.
